Speed Cataloging

Speed cataloging of LC copy may be done with book in hand if the following criteria are met:

The item must be a book. No other formats should be speed cataloged, though a book accompanied by a DVD/CDRom may be considered if other criteria are met. Be sure to see "Firm Order Receiving, Edit Item record" procedure for processing these.
The record must be LC
The record must have an 050:00, and the call number must be complete. (it must include a cutter ( |b part of field), and the cutter must end in a date.)

Do NOT speed catalog these items:

Books accompanied by non-book material, with the exception of books accompanied by DVD/CDRoms that fit inside the book. (Books with DVD/CDRoms for Central Reference or GOV-REF should still NOT be speed cataloged, as the book and the DVD are still shelved separately.)
Items that are part of a multi-volume set or an savc, sa&, or bavc series. If either the book or the record shows a series, and the other does not, do not speed cat.
Records that contain an 856 or 956 that links to full text.Table Of Contents links may remain. Publishers descriptions and links to author's information can be deleted.
Books for Divinity, Music or Special Collections (including Baudelaire)
Children's literature in Spanish (these require special handling, and so should not be speed cataloged)
Any book classed in Z or PZ3-4.
Books that carry a 10 digit ISBN that does NOT appear in the record (see ISBN document).

SPEED CATALOGING PROCEDURE FOR 1ST COPIES:

Look at the bibliographic record to compare it to the book in hand.
Review the following fields and check against book:

DATE1 in fixed field for correct publication date.
020 -- ISBN (see ISBN document)
050 00 Call no., to check for Z or PZ3-4 classifications and for completeness of call no.
100 -- Author
245 -- Title
250 -- Edition
260 -- Imprint
300 -- Size, to check for oversize (see Oversize Note, below, and Oversize Criteria document) and folio for cen, div, and arts locations. If this field is blank, incomplete, or does not match the piece in hand, do not speed catalog. If there is a |e in this field, it signifies that there is accompanying material; For books with an accompanying DVD or CDRom, be sure that it is properly described here; if it is not, DO NOT speed catalog.
440/830 -- Check that any numbered series has been verified and not sax; be sure that the 440 matches exactly what is in the book. (If the match is not exact, or the record has only a 490: 0, flag with green Series Review flag, and send to Cataloging.) (Also be sure to check captioning.)

If any major discrepancies exist in the above, flag book with yellow (LC) flag and DO NOT CATALOG.

EXAMPLE:

Bibliographic record with fields to be checked in bold:

Go to MODIFY TITLE.

At the Bib tab:

In the 951 field insert lu;(your initials);, eg. lu;nbk; (be sure to put semicolon after initials) This must be the first information in this field for the record to be counted in cataloging statistics.
IF the record being cataloged is one that was just brought into Acorn and can be speed cataloged, add a 954 field to identify the record to be sent for Authority matching. The format is MMYYYY. (This includes overlaid records.) (See 954 and Marcive Processing.)

At the Control tab:

change Date Cataloged to TODAY.

At the Vol/Copy tab:

remove the XX from the front of the call number and check to see that the call number is properly formatted.
be sure that class scheme is set to LC.
change Current Location to BAKER-HOLD.

CALL NO. FORMAT:
To check if call number is formatted correctly, after hitting ENTER or OK, choose the Print Spine Label option. Check the formatting of the call number in the label window, then click Cancel so you don't print. If there is a problem, choose Review and Make More Changes to go back to Vol/Copy tab to correct.

SHADOW:
Click the Shadow helper icon at the top left to check that the record is not shadowed at the title level (particularly if the title is a replacement or has been reordered) and unshadow if necessary.

UPDATING:
If the 994 field does not have the code "92" you should update by using the OCLC Holdings Update window found on the Library Technology Resources page. OCLC Holdings

Place books on MARKING/BINDING truck. If RUSH, route accordingly.

SPEED CATALOGING IDENTICAL COPIES:

Note: an additional copy of a title is only considered an "IDENT" when the existing bibliographic record has already been cataloged, and in LC. (If the item in hand is a duplicate of a piece that is in a Dewey call number, DO NOT add as an IDENT to the Dewey Call Number.Create a new Copy (with an AUTO Call Number if necessary); the new piece will be added in LC. The piece should be routed to the Original Cataloger for call number assignment.)

Determine first that the copy received is indeed an identical copy.
Go to MODIFY TITLE, click on the All Volumes tab and highlight the COPY YOU ARE CATALOGING, and click the Modify Vol/Copy button.
Change Current Location to BAKER-HOLD.
Check call number to make sure that there is no XX in front of it. (This would be the case if you were cataloging an ident for a different library) and that the class scheme is LC.
Now go to the BIB tab [NOTE this order. If you go to Bib first, you must hit ENTER before modifying the vol/copy]
In the 951 field, add a note citing id;(your initials);(date cataloged);Library;copy number; e.g. id;nbk;072497;MNGT;c.2. Note that information must be in this order, separated by semicolons, and no spaces. (Even if this is the only copy for that particular library, other copies may be added later, so putting the library will cause less confusion.)

Check the Label to be sure that the call number is formatted properly.
Check that the record is not shadowed at the title level (particularly if the copy is a replacement), and unshadow if necessary.

Place book on MARKING/BINDING truck.

Oversize Note: 30 cm (=11.8 inches) and larger is OVERSIZE. Note that any book that measures 29.1 cm or more will be rounded UP by the cataloger to 30 cm.
